When you apply for a position at Sanos Group ApS (or any of our EU subsidiaries) VAT-no. 40314636, Telefonvej 8D, 2860 Soeborg, Denmark ("Sanos”) will collect and process personal data on you as a job applicant, including your job application, your CV and other relevant material in case there is a relevant vacant position, or a new vacancy is expected to be created in the future.
Sanos kindly requests that you only submit personal data about yourself in your job application, CV or other relevant material you choose to provide to us, to the extent such information is relevant and necessary for the specific position you are applying for.
Sanos' primary purpose of processing personal data in the recruitment process is to recruit the most qualified applicants. Thus, Sanos processes your personal data for the purpose of assessing your skills, qualifications and suitability for the vacancy. Sanos may also process your personal data to carry out background and reference checks, conduct assessments, communicate with you about the recruitment process, accommodate your requests and inquiries for information, keep records related to our hiring processes and to comply with legal or regulatory requirements.
Sanos processes the personal data you have provided to us by submitting your job application, CV and other relevant material (such as diplomas, references, etc.). Further, Sanos may process personal data that are collected from third parties; for example, from public databases, via LinkedIn or other public social media platforms, an online search or a search and selection/recruitment agency. If deemed necessary and legitimate, Sanos may also obtain and process statements from your former employers, such as information on your job assignments and professional qualifications.
Sanos processes the personal data you have provided to Sanos for recruitment purposes to pursue the legitimate interests of Sanos such as administration of recruitment process and evaluation of the job applicants, cf. Article 6(1)(f) of the General Data Protection Regulation ("GDPR").
If you are chosen for one of our vacancies, processing of your personal data will be necessary in order to take steps at your request prior to entering into an employment contract, cf. Article 6(1)(b) of the GDPR.
Storage of your personal data for relevant future recruitment will only take place based on your consent to such processing, cf. Article 6(1)(a) of the GDPR.
Sanos may disclose personal data about you to certain third-party recipients, such as intra-group companies or service providers in relation to the recruitment process (including search and selection/recruitment agencies and the provider of our HR-system). Such parties will only process personal data about you on behalf of Sanos and in accordance with the instructions given by Sanos. Thus, these third-party recipients are not permitted to process your personal data for their own purposes.
If your personal data is transferred to data controllers or data processors which are located in countries outside the EU/EEA, including group entities, not ensuring an adequate level of data protection, such transfer will be subject to Sanos providing appropriate safeguards pursuant to art. 46 in the GDPR or by ensuring a derogation for specific situations pursuant to art. 49 in the GDPR.
If you are not chosen for the vacancy you applied for or if you withdraw your application, Sanos will as a general rule delete your personal data at the time of rejection or your withdrawal.
In certain cases, Sanos can retain your job application, CV and other relevant material for up to 6 months, for instance, where there might be established potential legal claims. It is accepted by the Danish Data Protection Agency that applications from unsuccessful applicants can be retained for up to 3 years.
If you are not chosen for the vacancy, but Sanos considers you as qualified, Sanos will obtain your consent to the storage of your application for the purpose of contacting you in relation to a relevant vacancy in the company in the future. If you have given your consent, Sanos can retain your application, CV and other relevant material for up to 6 months from the time of your consent or until you choose to withdraw your consent.
We may store and further process your personal data for a longer period than set out above in an anonymized form which means that we will no longer be able to refer the personal data back to you, neither directly nor indirectly.
Below is an outline of your data subject rights. However, kindly note that such rights are not unconditional.
As a starting point, you have a right of access to the personal data which we store and further process about you. Furthermore, you have the right to rectification and erasure, and the right to restriction of the processing activities.
Under certain circumstances, you may also request that we provide you with an overview of your personal data in a structured, commonly used and machine-readable format and request us to transmit such data to another data controller.
